If a client or platform asked you for a W-9, you can complete it online in a few minutes โ€” no printing required. Here's how to fill out IRS Form W-9 correctly and send it safely.

This guide is general information, not tax advice. When in doubt, check the official IRS instructions or ask an accountant.

What is a W-9?

Form W-9 gives a business your correct Taxpayer Identification Number (TIN) so they can report payments they make to you (for example, on a 1099). Freelancers, contractors, and vendors are asked for it often.

Fill out a W-9 in the browser

  1. Download the latest Form W-9 from the IRS website.
  2. Open it in the PDF editor โ€” the fields are usually detected automatically.
  3. Complete each line (see below).
  4. Sign and date it with the Sign and Date tools.
  5. Download the finished PDF.

Line-by-line

  • Line 1 โ€” Name: your legal name as shown on your tax return.
  • Line 2 โ€” Business name: only if you operate under a different name (DBA).
  • Line 3 โ€” Federal tax classification: check the one box that matches you (Individual/sole proprietor, LLC, S-corp, etc.).
  • Line 5โ€“6 โ€” Address: where the business should mail your 1099.
  • Part I โ€” TIN: your SSN (individuals) or EIN (businesses).
  • Part II โ€” Signature: sign and date to certify the information is correct.

Send it securely โ€” never by plain email

A W-9 contains your SSN or EIN, so treat it like cash. Because our editor processes the form entirely on your device, your TIN is never uploaded to a third-party server while you fill it in. When you send the finished file, use a secure upload link or encrypted email rather than a plain attachment.

Common mistakes

  • Checking more than one tax classification box.
  • Entering an SSN when the client expects an EIN (or vice-versa).
  • Forgetting to sign Part II โ€” an unsigned W-9 is often rejected.
