How to Fill Out a W-9 for an LLC
If a client asks you for a W-9 and your business is set up as an LLC, the form can be surprisingly confusing. A W-9 for an LLC has a classification checkbox that trips up a lot of owners, because the "LLC" box is not the only thing you need to mark. This guide walks through what each line means and how to fill out the PDF cleanly on any device.
What the W-9 is for
A W-9 (Request for Taxpayer Identification Number and Certification) is how a business you work with collects your legal name, your tax classification, and your taxpayer ID so they can issue you the right year-end forms. You do not send it to the tax authority yourself โ you return it to the person or company that requested it. Because it holds your Social Security Number or EIN, you want to keep the completed file private and avoid uploading it to random online tools.
The parts an LLC owner needs to get right
The lines that cause the most trouble for an LLC are the name lines and the federal tax classification section.
- Name line: This is the name shown on your income tax return. For a single-member LLC that is treated as a disregarded entity, that is usually the owner's name, not the LLC's name.
- Business name / disregarded entity name: This is where your LLC's registered name goes if it differs from the name line.
- Federal tax classification: There is a checkbox specifically for a Limited Liability Company. When you check it, the form asks you to also enter a letter in the space next to it โ commonly C, S, or P โ to indicate how the LLC is taxed (as a C corporation, S corporation, or partnership). A single-member LLC that has not elected corporate treatment is generally reported under the owner rather than by checking the LLC box, so read the official instructions carefully before you mark anything here.
Because the right box depends on how your LLC elected to be taxed, do not guess. The current, authoritative rules live in the official W-9 instructions from the tax authority, and this article is general information, not legal or tax advice.
How to fill out a W-9 PDF
You can complete the whole form in your browser without printing anything. Open pidief's fill and sign tool and load the W-9 PDF you downloaded from your client or the official source. Every file you open stays on your device and is never uploaded to a server, which matters when the document contains your tax ID.
- Load the PDF. Drag the blank W-9 into the tool. The pages render right in the browser.
- Fill the name line. Click where the name goes and type the name that matches your tax return.
- Add the business/LLC name. If your LLC operates under a different registered name, type it on the business name line.
- Mark the classification. Click the checkbox next to Limited Liability Company, then type the appropriate tax-classification letter in the small box beside it. If your situation calls for a different box, check that one instead.
- Enter your address and requester info. Type your street address, city, state, and postal code in the address fields.
- Add your taxpayer ID. In Part I, type either your SSN or your EIN, digit by digit, in the boxes provided.
- Sign and date. In Part II, add your signature and type the date. You can draw a signature, type one, or place a saved signature image, then type the date in the date field.
- Download the finished file. Save the completed PDF to your device and send it back to whoever requested it.
If a checkbox or line does not line up perfectly because your W-9 is a flat (non-interactive) PDF, you can still add text to the PDF and place a checkmark exactly where you need it. The full editor gives you the same typing, checkbox, and signature tools in one place.
Tips for a clean result
- Match your records. The name and TIN you enter should match what the tax authority has on file to avoid backup-withholding notices.
- Use consistent text size. When typing into a flat form, keep your font size similar across fields so the finished page looks tidy.
- Double-check the classification letter. The single letter beside the LLC box changes what your client reports, so confirm it against your election paperwork.
- Keep the file private. Since everything is processed in the browser and nothing leaves your device, you can fill in your SSN or EIN without it being stored anywhere.
After you finish
Send the completed W-9 back to the requester the way they asked โ usually by email or an upload to their portal. Keep a copy for your own records so you can reuse it next time a client needs one. If you ever need to update a detail, just reopen the saved PDF and edit the fields again.
For anything specific to your business structure or tax election, check the official W-9 instructions or ask a qualified tax professional. This guide covers the general mechanics of completing the form, not advice about your particular tax situation.
